Corporate event planning

Corporate Event Planning in Toronto, with the Entertainment Produced In-House

We plan company events around what guests will do once they arrive: the photo booth, the music, the photo moments, the room. One team plans the night, supplies the entertainment and runs the day.

Holiday parties, launches, galas, conferences and family days across Toronto and the GTA. Every plan is quoted per event, in writing.

How we plan

Planning that starts with the guest, not the floor plan

Most corporate events go wrong in the same quiet way. The venue is booked, the catering is fine, and then guests stand around because nothing gives them a reason to move, mix or stay. Just Great Events is a photo booth company first, so we plan from that point: what will people do between arriving and leaving, and how will the company see it afterwards in photos and video.

Because the booths, the DJ, the photographer, the backdrops, the marquee letters and the neon signs come from our own team, the plan, the timings and the setup sit with one contact. You brief one person, approve one plan and receive one written quote.

Clients include CIBC, CBC Kids, Cisco, Canadian Tire, Milwaukee Tool, Century 21, Wireless DNA, SCAGO, Royal LePage, Popeyes, the Rotman School of Management, JRS College, the University of Toronto and the Toronto District School Board.

What we plan and supply

One team for the parts guests remember

The plan and run of show

Timeline from load-in to last call, who does what and when, which moments matter most and where each element stands in the room.

Photo booths

Signature Classic, 360 and overhead 360, GlamBOT robot arm, AI, Glam, Mirror, Vogue, vintage-style and digital-only booths, branded to the event.

DJ and music

A DJ for the reception and the party, with the music planned around speeches, presentations and the dance floor.

Photography and video

A photographer and videographer for speeches, candid moments and headshots, delivered in a private gallery.

Marquee letters and neon

Light-up marquee letters with initials or a number, and neon signs with the company line, as a stage or entrance focal point.

Backdrops, flower walls and decor

Backdrops and flower walls for photos and the stage, and balloon or floral decor in the company colours.

Family day entertainment

Face painting, balloon twisting and bubble shows when staff bring their children.

Day-of coordination

One contact on site who keeps the plan on time with the venue and every supplier on our side.

Event types

Company events we plan

Holiday and year-end parties

The office party is the event staff judge the year by. We plan the flow of the evening so the room is never flat: arrival with music and an entrance photo moment, dinner, a short programme, then the dance floor with the DJ and the booth beside it. December dates fill first, so planning usually starts in September or October.

Product launches and brand moments

A launch needs a reveal and a reason to post. We plan the sequence around the product moment, build the photo set with a branded booth or a GlamBOT shot, and time the music and lighting cues with your team. The aim is content guests share on the night and footage you can use afterwards.

Galas, recognition nights and fundraisers

For a black-tie evening we plan the red carpet or entrance, the timing of honours and speeches and the point when the room turns into a party. A Glam Booth or Vogue Booth at the entrance gives sponsors and honourees a portrait, and a photographer covers the stage.

Conferences and networking evenings

At a conference the entertainment works between sessions: a headshot station in the foyer, a booth at the evening reception, a DJ for the closing party. We plan those pieces around your agenda so they fill the gaps instead of competing with the programme.

Team celebrations and family days

Milestones, team wins and summer family days need less ceremony and more to do. Booths, music, face painting and a bubble show for the children, planned for the same hours, keep every age busy.

Before you call

Five decisions that shape a corporate event plan

You do not need every answer before the first call, but these five shape the plan more than anything else.

  • The purpose. Thank the team, impress clients, launch a product or raise money. Each purpose changes what guests should do in the room.
  • The audience. Staff only, staff with partners, clients, or families with children. The music, the booth and the props follow from who is coming.
  • The headcount. Under 100 guests, one booth and a DJ often carry the evening. Above about 300, a second booth or a second photo moment keeps lines short.
  • The format. Seated dinner with a programme, cocktail reception, conference with an evening event, or a daytime family day.
  • The record. Whether you want photos and video for internal channels or marketing afterwards. That decides how much coverage to plan.

Send what you know and leave the rest blank. The plan fills the gaps.

Working together

How a planning project runs

Brief

Tell us the date, guest count, budget range, venue if you have one and what the event should achieve.

Plan and quote

We send a plan with the run of show and the elements we suggest, and a written quote with each item on its own line.

Approve and refine

You approve the plan and the designs: templates, overlays, signage and music. Changes are made before the day, not on it.

Event day

We load in, set up, run the entertainment and coordinate the timeline on site, then pack up. Photos and video follow in your gallery.

Every element and every hour on its own line, invoiced to the company

Booth prices are published on our photo booth services page, for example the Signature Classic from $450 for two hours. Planning, DJ and decor are quoted per event because they depend on the brief.

FAQ

Corporate event planning questions

Scope

Do you plan corporate events or only rent photo booths?
Both. We plan corporate events and supply the photo booths, DJ, photography, backdrops and decor from our own team.
What does your planning include?
A plan and run of show, the entertainment and photo elements, design approvals and coordination on the day. Tell us what else the event needs and we say plainly what we cover.
Do you find the venue?
Tell us if you still need a venue when you send the brief, with the area and guest count, and we discuss it in the plan.
Can you work with a venue we have already booked?
Yes. We plan around the venue, its rules and its event coordinator.
Can you work alongside our caterer or AV company?
Yes. We share the run of show with them and plan our load-in and power around theirs.
How is this different from booking a photo booth on its own?
A booth booking covers the booth. Planning covers the whole guest experience: timing, music, photo moments, decor and coordination, with the booth as one part.
Do you plan events outside Toronto?
Yes, across the GTA, including North York, Scarborough, Mississauga, Brampton, Vaughan, Markham, Richmond Hill, Oakville and Hamilton.

Cost

How much does corporate event planning cost?
Planning is quoted per event because the scope changes with the brief. You receive a written quote with every element on its own line before anything is booked.
Are booth prices the same when you plan the event?
Booths are priced as published, for example the Signature Classic from $450 for two hours. They appear as their own lines in the planning quote.
Do you invoice the company?
Yes. Quotes and invoices are issued to the company.
Can you work to a fixed budget?
Yes. Give us the budget range in the brief and we suggest the elements that fit it.

Entertainment and production

Can you supply a DJ?
Yes. The DJ plays the reception and the party, and we plan the music around speeches and the programme.
Which photo booths can you include?
Signature Classic, 360 and overhead 360, GlamBOT, AI, Glam, Mirror, Vogue, vintage-style and digital-only booths. See the corporate photo booth page for branding.
What is a GlamBOT?
A robot camera arm that films short, fast cinematic clips of guests. It needs more floor space than a standard booth and suits launches and galas.
Can you provide marquee letters and neon signs?
Yes. Marquee letters and neon signs can frame the stage, the entrance or the booth.
Do you supply backdrops and flower walls without a booth?
Yes. Backdrops and flower walls are available on their own for stage photos, step-and-repeat moments or decor.
Can you photograph and film the event?
Yes. Our photographer and videographer covers speeches, candids and headshots, from $650 for two hours, delivered in a private gallery.
Can you entertain children at a family day?
Yes. Face painting, balloon twisting and bubble shows run for the same hours as the rest of the event.
Can the entertainment carry our branding?
Yes. Prints, video overlays, sharing screens, neon wording and signage can all carry the brand, approved by your team first.

Planning and timing

How early should we start planning?
Three to four months ahead for a December party or a large gala, two to three months for most other events.
What do you need for the first brief?
The date, guest count, venue or area, budget range, the type of event and what you want guests to remember.
Who is our contact during planning?
One planner handles the brief, the plan and the day, so you do not repeat yourself to different people.
Will someone from your team be on site?
Yes. Our team runs the entertainment and coordinates the timeline with the venue on the day.
Can we change the plan after approval?
Yes, before the event. Changes to the run of show or designs are easiest a week or more ahead.
Do you handle load-in at office towers and hotels?
Yes. We book the dock or freight elevator slot and put our team on the security list.
Can you plan a hybrid event with remote staff?
Tell us in the brief. A digital-only booth can share photos with people who are not in the room; streaming and AV setups should be confirmed during planning.
How do we get the photos and video afterwards?
In a private online gallery. Booth photos arrive within 48 hours.
Can you plan a surprise or reveal moment?
Yes. Reveals, entrances and countdowns are planned into the run of show with music, lighting and a photo moment timed together.
Do you plan events for clients as well as staff?
Yes. Client appreciation evenings, open houses and partner receptions follow the same planning process, with the tone set for an external audience.
